Job Summary

The portfolio consists of 300 department members and spans across three department office sites - St. Paul's Hospital, BC Women's Hospital, and Vancouver General Hospital. The position is responsible for coordinating the recruitment, appointment, reappointment processes for faculty, staff, and students, as well as coordinating faculty promotion and tenure process. The incumbent acts as a front-line resource for department managers and employees and respond to confidential and complex enquiries regarding faculty appointment processes and other HR issues.


Organizational Status

Reports to the HR Manager with input from the Administrative Director.


Work Performed


Responsible for coordinating and processing all appointment transactions for clinical faculty, staff and students including: hires, reappointments, job offers, salary changes, earnings distribution changes, leaves, terminations, and other changes in employment under the direction of the HR Manager.
Uses E-Recruit system to post jobs, review applicants, and process job offers. Tracks and follows up on approvals.
Maintains recruitment files, applications and departmental postings.
Responsible for tracking staff performance reviews.
Maintains accurate job descriptions for all staff in the Position Management database.
Responsible for tracking staff and student appointments through the various departments throughout the University.
Runs and maintains upcoming termination reports, ensuring all appointments are extended without a break in pay and maintaining department databases by entering, updating and retrieving data.
Processes bi-weekly hourly timesheets, as needed.
Works with the HR Manager to analyze funding for all payroll/HR transactions.
Responsible for ensuring personal and appointment details for clinical faculty, staff and students are correct in HRMS, Education Database, Admin Database, Department Website Directory, and the University Directory.
Requests FASmail accounts for new employees.
Updates Departmental website.
Performs other duties as required.

Consequence of Error/Judgement

Exercises judgment and initiative when dealing with the public and in handling matters requiring a thorough knowledge of pertinent policies and procedures of the University and the Faculty of Medicine. Takes responsibility in planning the sequence of duties, the work methods to be employed and the action to be taken. Ensures confidentiality of various issues.
