Job Description

Fredericton, NBThis position is part of a team providing assistance to the Human Resources Consultant (Employment) by drafting and posting job ads, preparing letters and performing other assigned administrative duties including general reception to all users and callers to department of Human Resources & Organizational Development. Representative Responsibilities · Responsible for the initial contact for all users of Human Resources & Organizational Development. This includes reception of faculty, staff, senior administration, representatives from various internal & external agencies, & members of the general public. · Pick up, open and sort all incoming mail and distribute to appropriate individuals; prepare outgoing mail for delivery and pickup and prepare courier shipments. · Responsible for HR&OD’s voice mail system and general e-mail account. · Open and close the office daily. · Assist new staff, including faculty, support staff and students, in completing necessary TD-1 Tax Exemption Return forms and bank forms for enrolment on payroll and other general forms as required. · Assist with the drafting, typing, duplication, and distribution of faculty and support staff ads on campus; responsible for all procedures involving external advertising of support staff ads. · Assist with the drafting, typing, duplication, and distribution of staff extension and appointment letters. · Maintain current employment opportunity files at the reception desk to accept applications for positions and provide information relative to the available positions and the current status of competitions. · Responsible to close employment opportunity files, print all resumes, create list of applicants and notify departments/faculties when they are available for pick up. · Maintain a general understanding and awareness of all current office projects and provide assistance as required. · Provide administrative support to other areas of Human Resource. Requirements · High school graduation supplemented by a diploma in Office Administration (or equivalent). · 1 year experience in an office setting is essential with previous experience dealing with the public. · Accuracy and attention to detail is essential. · Must be able to demonstrate considerable tact, diplomacy and sensitivity to effectively deal with a wide range of individuals and confidential issues. · Excellent telephone manner and superior interpersonal skills; good typing/word processing skills, and previous experience in a computerized work environment. · Must possess knowledge of current Microsoft Office programs including Word and Excel. A working knowledge of Colleague would be an asset.
